POSITION SUMMARY
The Administrative Assistant for the Discipleship Ministry provides professional support to the Pastor and assists with the overall administration, function, and coordination of the Discipleship Ministries of the church.
ESSENTIAL FUNCTIONS
- Provide professional administrative support to the Pastor through such tasks as calendaring appointments, scheduling meetings, travel arrangements, expense reports, correspondence with various individuals, church database reports, and other similar duties.
- Prepare and generate church database (currently Ministry Platform) reports on a weekly and monthly basis to assist with Sunday School attendance tracking, special event registration and other necessary reports.
- Coordinate all adult ministry related content for the class catalogs and ministry brochure including but not limited to Sunday school class descriptions, Wednesday evening worship and classes and other adult ministry activities and events.
- Prepare and track expense reports, budget reports, spreadsheets, and coordinate the receipts/expenses for the pastor’s credit card.
- Manage the Pastor’s calendar and professional communication.
- Assist other ministry assistants with special reports, requests and/or events as necessary.
- Coordinate with the other ministry assistants to ensure all appropriate curriculum's are ordered in a timely manner for Adult Life Groups and any other relevant events.
- Coordinate required travel arrangements for all special guests for the adult ministry areas including Wednesday evening guest speakers, special event guest speakers and other event speakers or guests. This includes hotel accommodations, travel expenses and flight arrangements.
- Coordinate the requests and communication between each department within the Discipleship ministry and any external requests.
- Provide support for event set-up, working closely with support Ministries through help desk, phone and or emails.
- Attend inter-office staff meetings and complete minutes with Action Points if needed.
- Aid in whatever capacity is needed on a Sunday morning (including, but not limited to: greeting, facilitating discussion groups, leading in prayer, etc.).
- To perform other duties as workload necessitates.
Qualifications
- Candidate must have a growing & mature, demonstrated personal relationship with Jesus Christ and exhibit a consistent Christ-like attitude and life.
- A current church member of FBA or willing to become a member within three months.
- High School Diploma required; Associate/Bachelor’s degree preferred.
- Previous work/volunteer experience in ministry assistant.
- Ability to handle sensitive, stressful and/or confidential situations with poise, tact, and diplomacy.
- Exceptional verbal, written and presentation skills (grammar, writing, and editing) to interact professionally with individuals both within the church staff, congregation and outside organizations or individuals.
- High level of interpersonal and relationship skills essential.
- A team player with the ability to cultivate a team spirit within the Ministry area and the Church.
- Effective problem analysis and resolution skills.
- Above average ability to be flexible, organize, manage time and set/shift priorities while meeting deadlines. Position will require occasional work on weekends and evenings, or work from home as required.
- Ability to develop, plan, and implement Ministry and Church related short and long-range goals, as well as to interpret, adapt, and apply guidelines and procedures.
- Proficiency with Microsoft Office Products (Word, Excel, PowerPoint).
- Proficiency with current and future church database (currently Ministry Platform); willingness and capacity to learn all programs that the church utilizes.
- A current church member of FBA or enrolled in First Class and willing to become a member of FBA within the first three months of employment.
