The Administrative Assistant is responsible for delivering comprehensive administrative and logistical support to the Disney Live Entertainment Costuming organization.
This is a full-time hourly, non-exempt role that currently reports to the Sr Manager, Character Production & Sustainment.
What You Will Do:
- Act as the information hub for supported leaders
- Enhance team effectiveness by anticipating organizational needs, monitoring reports (e.g., labor utilization, service anniversaries), consolidating schedules and vacation calendar, and updating distribution lists
- Maintain a professional, organized environment with service-focused delivery
- Process travel and expense reports
- Manage leaders’ calendars
- Support special projects
- Handle orders, deliveries, and inventory tracking
- Participate in meetings (note-taking, proofreading, summaries)
- Prepare large meeting rooms, set up AV/video conferencing, and obtain clearances
- Oversee logistics: coordinate tasks, manage deadlines, and ensure timely responses
Required Qualifications & Skills
- 2+ years of experience supporting management in an administrative capacity
- Proficiency with technology, including VTC meeting coordination and advanced computer skills in Microsoft Word, Excel, Outlook, PowerPoint, Visio, SAP, Microsoft Teams, Concur, Coupa, Telecomm, and IT systems
- Ability and willingness to learn new software programs as required
- Strong organizational capabilities, attention to detail, and aptitude for managing multiple concurrent tasks
- Proven track record in handling confidential information with discretion
- Excellent time management skills, adaptability in daily responsibilities, and the ability to prioritize workloads at daily, weekly, and monthly intervals
- Effective verbal and written communication skills, complemented by professional telephone etiquette
- Demonstrated ability to collaborate successfully within a team setting
- Strong problem-solving abilities and commitment to continuous process improvement
- Initiative to generate and share innovative ideas
- Capacity to establish strong working relationships both within and across teams, dedication to supporting leaders and colleagues, and a willingness to proactively contribute beyond assigned duties
Preferred Qualifications
- Experience in the costume or garment industry
- Strong knowledge and experience with Coupa, Concur, and SAP
Required Education
- High school degree or equivalent experience
Preferred Education
- Bachelor's Degree or equivalent experience
