Hiring Goal
The client is seeking a professional who can balance nimbleness with a high degree of organization. This Executive Assistant role supports both traditional administrative needs and a variety of project-based responsibilities, requiring someone who can operate steadily and stay several steps ahead of the executives they support. The ideal candidate brings a service-oriented mindset, strong follow-through, and the ability to juggle multiple priorities while maintaining clarity, accuracy, and momentum across the business and its initiatives.
ROLE OVERVIEW
Executive Support – 100 %
Provide administrative support to the Managing Partner (60%) and Tax Partner (40%)
Heavy calendar management for two of the executives
Assist with correspondence: email, notes, and memos (inbox access to MP; future TP)
Develop deep understanding to support prioritization
Work closely with the executives, supporting meeting activities pre and post:
Meeting coordination which includes interacting with team and high volume of clients, both new and prospective
Support and own follow up tasks
Track client movement
Act as hospitality partner helping with relationship and employee needs
Help with engagement letter process and activities
Become a highly informed partner knowing all deadlines and tasks to proactively forecast the needs of the executive and company; plus recommend and act to resolve any challenges
Help with Board (some volunteer and business) meeting activities (MP)
Support with networking group events
Orchestrate all hosted meetings including ordering meals, A/V set up, meeting and greeting
guests, and wrapping up
Coordinate travel accommodations and logistics; for both Partners (infrequent)
Maintain and track expense reporting and reimbursements in partnership with accounting
Presentation resource management; help source content (from team and via research)
Support ELT activities
Track internal and external contacts, maintain contact database
Help executive with company culture initiatives
Help coordinate company Town Hall meetings
Occasionally handle personal tasks (no errands)
Add personal activities to calendar for both (communicating with family members)
Desired background and attributes
Candidates will be considered in totality of their skills and experience versus strict interpretation of “must haves.”
Prior experience where your tool box is applicable to 75% of the needs outlined in the role
Proficient with Microsoft Office 360 + SharePoint (Outlook+, Excel+, PowerPoint+)
Comfortable using Microsoft Teams
Has a finance background, a plus
Professional demeanor with excellent verbal and written communication skills
Self-starter and forward thinker
Ability to work independently with little supervision
Nimble, adaptable, and entrepreneurial mindset, a big plus
Company Offerings
Salary: $80k to $105k.
Hours: Fully onsite position (Denver or Boulder office).
401(K): Company provides 100% match, up to 3%, then 50% of the next 2%, totaling a maximum of 4% for one year tenure employees.
PTO: Unlimited paid time off.

If a fit, candidate creates personal, admin portfolio (2.5-hrs)
Once candidate’s fit is confirmed, conduct video interview with Exceptional Admins (30-mins)
First client interview: video interview with executives, (30-mins back to back with each executive; 1-hour)
Second client interview: In person to meet with team (2-hours)
Third client interview (optional): Phone call with one or two staff members (30-mins)
