Farmington Public Schools is seeking an experienced Administrative Secretary I Full Time / Full Year Position
Administrative Assistant to the Director of Special Education - Central Office

QUALIFICATIONS:
1. Candidate must have an associate’s degree and/or formal training in a business program or related field.
2. Candidate must have work experience as an executive assistant, administrative assistant, office manager, or similar experience.
3. Candidate must have demonstrated ability to organize, implement, and coordinate complex, multi-phase projects and tasks.
4. Candidate must have demonstrated strong interpersonal communication skills and public relations skills.
5. Candidate must demonstrate the ability to type using a word processing program at an advanced level (i.e. 60-70 words per minute.)
6. Candidate must demonstrate skills of advanced word processing, desktop publishing, presentation software, spread sheet design and database applications.
7. Candidate must demonstrate proficiency in oral and written communication.
8. Candidate should have a familiarity with budgeting processes
9. Candidate should be proficient with basic technology with the ability to work on Web based applications and Goodge Workspace
The Administrative Secretary I directs and coordinates the workflow of the Special Services Office. This includes overall office and task management.
Vendor and Contract Management:
Manages outside vendors to support student services and staffing needs for the department, including processing contracts, tracking service delivery, and ensuring payments are aligned with agreements.
Financial Accounting & Compliance:
Manages all Choice, Magnet, and Out-of-District Tuition accounting for the department, including tracking, invoicing, and reconciliation.
Manages all grants assigned to the Special Services Department, overseeing financial tracking, expenditure compliance, and reporting to ensure all grant requirements are met.
Manages and encumbers for all department encumbrances (purchase orders, contracts, etc.), maintaining accurate financial records and budgetary control.
Regulatory Reporting:
Responsible for keeping the department in compliance with all State Department of Education (SDE) reporting requirements for Special Services, including managing data collection and submission deadlines.
Office Operations:
Manages the responsibilities of the Secretary and Clerk functions within the office, ensuring smooth day-to-day administrative operations.
Coordinates appointments and meetings; organizes the calendar and task requirements of the Director.
Applies the secretarial and organizational skills required for the efficient operation of the office.
Monitors and responds to report deadlines.
Schedules office work assignments as necessary.
