Executive Administrative Assistant
 
The Executive Administrative Assistant will play a pivotal role in supporting the Chief Executive Officer (CEO) in managing business operations, strategic initiatives, and administrative functions. This role requires a highly organized, proactive, and detail-oriented individual who can effectively manage multiple priorities, streamline communication, and drive efficiency across the organization.
 
What You'll Do
Administrative & Executive Support 
  • Schedule Management: Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
  • Communication Management: Screen and prioritize emails, calls, and other correspondence, ensuring timely responses.
  • Expense Management: Prepare and submit expense reports, monitor reimbursements, track budget allocations for executive-related expenses, and ensure proper documentation of expenditures.
  • Document & File Management: Oversee the organization and maintenance of files and critical documents, including electronic and hard copy lease records, documents for various projects, financing documents, and operational files.
Operations & Special Projects
  • Legal & Contract Research: Conduct research on various leases, contracts, and legal documents, summarizing key provisions for executive review.
  • Project Management & Special Initiatives: Lead and support special projects related to real estate operations, office administration, and corporate initiatives.
  • Cross-Functional Coordination: Coordinate cross-functional projects, ensuring deadlines and deliverables are met efficiently.
  • Process & Workflow Optimization: Develop and implement organizational systems to improve workflow and efficiency.
KPI Reporting & Data Management
  • KPI Tracking & Analysis: Assist in tracking and analyzing key performance indicators (KPIs) for various real estate and business operations.
  • Report Compilation & Analysis: Compile financial, operational, and strategic reports for the CEO and other stakeholders.
  • Data Gathering & Decision Support: Work with different departments to gather data and insights that support decision-making.
Board & Shareholder Communications
  • Board & Shareholder Liaison: Serve as a liaison between the CEO and the Board of Directors, shareholders, and key stakeholders.
  • Board Meeting Support: Assist in the preparation and distribution of board meeting materials, agendas, and minutes.
  • Executive Communication: Draft internal and external communications, ensuring professionalism and clarity.
Presentation & Reporting
  • Presentation Development: Prepare presentation materials, reports, and summaries for executive meetings.
  • Business Documentation & Reporting: Create and refine PowerPoint presentations, Excel reports, and other business documentation.
  • Quality Assurance in Materials: Ensure accuracy and professionalism in all written and visual materials.
 
You Have
  • Education: Bachelor’s degree in Business Administration, Real Estate, Finance, or a related field preferred.
  • Experience: Minimum of 5 years of experience in an executive support, operations, or Chief of Staff role.
  • Industry Knowledge: Strong understanding of real estate operations, contracts, and lease management is a plus.
  • Problem-Solving & Organizational Skills: Exceptional organizational, analytical, and problem-solving skills.
  • Technology & Software Proficiency: High proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and document management systems.
  • Communication & Interpersonal Skills: Strong communication and interpersonal skills, with the ability to interact effectively with senior executives and stakeholders.
  • Confidentiality: Ability to handle confidential information with discretion and professionalism.
  • Personal Attributes: Proactive, adaptable, and able to thrive in a fast-paced environment.
You Should Be Able To
  • Be Stationary: Work at a computer and remain stationary for extended periods. 
  • Exchange Information: Able to clearly communicate with others verbally and in writing to exchange accurate information. 
  • Keyboard & Mouse Control: Tolerate repetitive motions of your wrists, hands, and fingers.
  • Lift & Carry: Occasionally lift, move, or carry items up to 25 pounds. 
  • Maneuver Properties: Move about properties often including ascending/descending of stairs.
  • Be Flexible & Mobile: Bend, squat, kneel, twist, and walk for periods of time while inspecting/addressing properties or equipment.
