Summary: The Administrative Assistant ensures the efficient day-to-day operation of the office and supports the work of primarily the Chief Executive Officer with limited support to other members of the senior management team. Has the ability to work well in a team, exhibits integrity, uses good judgment and keeps information confidential.
The Credentialing Specialist is responsible for coordinating, monitoring, and maintaining the credentialing and recredentialing process for all providers within the Federally Qualified Health Center (FQHC). This role ensures compliance with HRSA, Joint Commission, NCQA, and payer requirements to support timely provider enrollment and reimbursement. The Credentialing Specialist serves as the primary liaison between providers, payers, and internal departments to maintain accurate and up-to-date credentialing files.

• Experience working Draft minutes at various monthly management meetings
• Provide secretarial and administrative support to CEO and other senior staff.
• Keep all information from meetings confidential
• Promote smooth administration operations by collaborating with senior management, supervisors and team members, supporting other provider teams, and completing additional duties as assigned
• Plan and execute two companywide events
• Plan and execute quarterly potlucks, etc. across all clinic sites
• Running daily errands to pick up and deliver mail, business documents and run deposits to bank
• Sort incoming mail, faxes, and courier deliveries for distribution
• Operate copier, prepare and send outgoing faxes, mail, and courier parcels
• Forward incoming general e-mails to the appropriate staff member
• Forward voice mail from the general mailbox to the appropriate staff member
• Update and ensure the accuracy of the organization's databases and ensure electronic files are backed up
• Make travel, meeting and other arrangements for staff
• Coordinate the maintenance of office equipment
• Coordinate initial credentialing, recredentialing, and privileging for all licensed providers (MDs, DOs,NPs, PAs, LCSWs, etc.) all other licensed providers (Pharmacists, RNs, Dental Hygienist, Pharmacy Technicians, Certified Medical Assistants, Certified Dental Assistants, and other clinical staff (Non-certified MAs and DAs, CHWs, Care Coordinators, Navigators) according to FQHC policies and regulatory requirements.
• Maintain compliance with HRSA, CMS, NCQA, FTCA, and other accrediting body standards.
• Prepare and manage credentialing files for management team approval and maintain accurate records in credentialing databases.
• Work closely with a third party credentialing verification organization (CVO)
• Maintain an understanding of all rules and regulations associated with credentialing and privileging at an FQHC
• Verify provider credentials for other clinical staff and support CVO in their efforts to verify licensed providers, and other licensed providers including education, training, licensure, board certification, work history, and malpractice coverage.
• Work with CVO to maintain CAQH and PECOS profiles for all applicable providers.
• Ensure timely recredentialing and reappointment of all providers to prevent lapses in privileges or payer enrollment.
• Collaborate with Human Resources to ensure providers are onboarded efficiently.
• Monitor expiring documents (licenses, DEA, CPR, malpractice insurance, etc.) and update records accordingly.
• Assist with quality improvement and compliance audits related to credentialing and privileging.
• Maintain confidentiality and adhere to HIPAA and organizational compliance policies.
Qualifications - Education/Experience:
Required Vaccines and Test: Influenza, Tdap, Hep B, MMR, Varicella, TB test, and Negative Drug Test results. Additional Vaccines may be required.
