Exceptional Admins (EA) is seeking a professional for an opportunity with a hospitality company, with an office located in RiNo.

About the Executive and Company
The company specializes in adventure hospitality, with holdings in various mountain states. The company is backed by the reputation and resources of a respected private equity firm. This role will be supporting the CEO, holding a busy schedule across multiple time zones making this supportive role exciting and involved. The office has around 370 employees. The corporate office is located in a renovated building that has expansive views and wonderful Colorado architecture throughout.
Hiring Goal
The executive seeks a professional who is well-versed in supporting. Both traditional objectives (i.e., scheduling) and client relations (i.e., investors) responsibilities fall on the desk of the Executive Assistant. The role needs someone who can work fast and with precision. The role will work closely with the CEO office, with the EA reporting into the CEO. The right candidate will be strongly focused on providing incredible service while managing multiple tasks that support both the executive and the company initiatives.
ROLE OVERVIEW
The CEO Office, Executive Support – 80%
This role will support the CEO
Heavy calendar management (heavy meeting culture)
Support meeting preparation through scheduling, preparing agendas, tracking follow up action items, participating in meetings as requested
Be informed on all activities to effectively prioritize workflow
Manage and book travel / accommodation (both international, which is rare, and domestic, private and commercial) and provide detailed travel itineraries
The executive commutes from San Diego each week
Prepare itineraries and coordinate full cycle logistics
Maintain and track expense reporting (via Microsoft Dynamics 365)
Manage speaking arrangements and other events
Demonstrate advanced organization and project management skills to assist CEO on multiple complex projects at any given time
Take meeting minutes (not a regular occurrence, but does happen)
Help with presentation prep and project status updates for CEO and Senior Leadership
Occasional assistance with personal items, only after discussion
Manage the Office of the CEO budget
Act as representative of the CEO office regarding internal and external relations, handling correspondence and screening communication
Support the CEO Office weekly meeting preparations
Create and distribute meeting agendas and reports
Capture and track action items
Streamline and manage to-dos to meet deadlines (via Teams)
Support ELT activities
Board Support - 10%
Manage the corporate calendar including scheduling of Board meetings and other high profile events
Support executive with Board obligations, preparation and scheduling logistics (Quarterly)
Manage Board (9 people) and VIP preference sheets and special requests
Become a highly informed partner knowing all deadlines and tasks to proactively anticipate the needs of the team; plus recommend and act to resolve any challenges
Event Support – 10%
Assist with events and coordination – both internal and Portfolio related board meetings, HUB days, etc.
Create timelines, coordinate event setup and breakdown, manage guest lists
Develop and manage event budgets, tracking expenses, and ensuring cost-effectiveness
Identify, negotiate with, and coordinate with hotels, conference facilities, and various vendors such as caterers, decorators, and entertainment providers
Maintain regular communication with event and meeting attendees, understanding their needs, and addressing their concerns throughout the planning process

Proficient with Microsoft Office 365 + SharePoint (Outlook)
Comfortable using Teams (heavily used by employees, rarely used by CEO)
Professional demeanor with excellent verbal and written communication skills
Self-starter and forward thinker
Familiar with Microsoft Dynamics 365, a plus
Has a track record of working independently with little supervision
Nimble, adaptable, and entrepreneurial mindset, a big plus
Company Offerings
Working Hours: Hybrid workplace policy encouraging regular in-person collaboration in our dog-friendly company headquarters office located in Denver's RiNo Art District neighborhood (for eligible employees). Flexible onsite M-Th (when CEO is in town), WFH on Friday’s.
Salary: $100k to $140k, exempt role.
Bonus: Eligible for a 10% target bonus (variable compensation)
401(k): Company company match is up to 4%, immediately vested. Max contributions
PTO: Flexible Time Off (FTO) is unlimited.
