• Oversee and manage all day-to-day office operations, ensuring efficiency and organization.
• Supervise and support office staff, fostering a collaborative and productive work environment.
• Handle scheduling, payroll processing, and financial record-keeping.
• Maintain accurate customer records, service agreements, and accounts receivable/payable.
• Ensure all HVAC service requests, permits, and paperwork are processed correctly and on time.
• Manage vendor relationships and office supply inventory.
• Assist with hiring, onboarding, and training of new employees.
• Oversee company events, meetings, and team-building activities.
• Act as a liaison between the office team and field technicians, ensuring seamless communication.
• Ensure compliance with company policies, industry regulations, and safety protocols.
• Maintain a positive customer experience by handling inquiries and resolving service-related issues.

• Prior 3+ years experience in office management, administrative leadership, or similar role (HVAC or construction industry experience preferred).
• Strong organizational and multitasking abilities in a fast-paced environment.
• Knowledge of QuickBooks, Microsoft Office Suite (Excel, Word, Outlook), and scheduling software.
• Excellent communication and interpersonal skills-must be able to interact with technicians, customers, and vendors professionally.
• Ability to handle payroll, invoicing, and financial record-keeping.
• Strong problem-solving skills and ability to take initiative.
• Familiarity with HVAC permits, compliance, and industry terminology is a plus.
• High attention to detail and ability to handle confidential information responsibly.
